Title – Event Project Assistant – Christmas Lights
Reporting to – Head of Business Development

As one of the UK’s most prolific live entertainment promoters, Kilimanjaro live will deliver over 700 tours and events in 2022 including Ed Sheeran, Andrea Bocelli, Live at Chelsea, Simply Red, Hans Zimmer, Craig David, Phoebe Bridgers and Stereophonics. Kilimanjaro also takes a proactive approach to the development of new acts and talent.

Now seeking an Event Project Assistant for our Christmas Lights division. In 2021 we welcomed 200,000 visitors across three historic landscapes at Trentham, Kenwood and Wollaton.

Job Purpose:
• To work with the Event Project manager on the production and delivery of Christmas Lights projects, in advance of the events and throughout their open period.
• Ensure the safe and efficient delivery of Christmas Light Trail events including assuming an Event
• Management role on site, supervising duty managers.
• Create and update the site plans using CAD.
• Conduct site visits as necessary.
• In collaboration with the Event Project Manager appoint staff and contractors (using a tendering process where appropriate), obtaining quotes, issuing PO’s and ensuring full delivery on site.
• Administer the application process for installations and collaborations.
• Work closely with the event project manager to ensure license conditions and planning conditions are upheld in the running of the events.
• Ensure work in progress budgets are maintained by:
• Making best efforts to procure items within the budget limits.
• Providing contractors with specific budget lines to spend against and regularly reviewing them.
• Ensuring that the company’s PO system is used for all procurement.
• Ensuring that the Work in Progress column on the budget is updated on a regular basis.
• Reporting regularly to the Event Project Manager as to the current forecast spend and alerting them to any potential issues as they happen.
• Work with the finance team to approve payment of invoices against PO.

• Undertake any other relevant duties or reasonable requests as requested by any member of the senior management team

Our ideal candidate will possess the following:
• 1-2 years of experience in a similar role.
• Knowledge and passion for the live events industry.
• Attention to detail and ability to work and adapt under pressure.
• Ability to maintain effective communication with multiple departments internally and externally.
• Strong organisational, interpersonal and communication skills (written and verbal).
• Good working knowledge of CAD, MS office and excellent knowledge using Excel for budgeting.
