Title: Event Project Manager – Christmas Lights
Reporting to: Head of Business Development

Zimmer, Craig David, Phoebe Bridgers, and Stereophonics. Kilimanjaro also takes a proactive approach to the development of new acts and talent.

Now seeking an Event Project Manager for our Christmas Lights division. In 2021 we welcomed 200,000 visitors across three historic landscapes at Trentham, Kenwood and Wollaton.

Job Purpose:
To work with the Head of Business Development and other senior management as required on the delivery of Christmas Lights projects, including the investigation and adoption of additional sites.

Key Responsibilities and Accountabilities:
• Lead the safe and efficient delivery of Christmas Light Trail events including assuming the Event
• Management role on site, supervising duty managers.
• Create and update the site plans.
• Conduct site visits as necessary.
• Appoint staff and contractors (using a tendering process where appropriate) and manage the relationships with them, obtaining quotes and ensuring full delivery.
• Administer the application process for installations and collaborations.
• Work with venues, local authorities, responsible authorities, and other stakeholders to deliver the event, including making licence and planning applications and attending SAG and any other meetings as relevant.
• Once a budget has been agreed, produce a Work in Progress version, and carry out budget
control by:
• Making best efforts to procure items within the budget limits.
• Providing contractors with specific budget lines to spend against and regularly reviewing them.
• Ensuring that the company’s PO system is used for all procurement.
• Ensuring that the Work in Progress column on the budget is updated on a regular basis.
• Reporting regularly to the promoter as to the current forecast spend and alerting them to any potential issues as they happen.

• Work with the finance team to approve payment of invoices against PO.
• Explore the feasibility and potential of new sites events with the Head of Business Development, including exploring the suitability of the location and producing draft budgets.
• Undertake any other relevant duties or reasonable requests as requested by any member of the senior management team

Our ideal candidate will possess the following:
• 5 years of experience in a similar role.
• Knowledge and passion for the live events industry.
• Accuracy and exceptional attention to detail.
• Ability to rapidly adapt and respond to changes in environment and priorities.
• Excellent communication, leadership, problem solving and analytical skills.
• Ability to work in a fast-paced environment and manage multiple deadlines.
• A fast learner with strong organisational skills, deadline driven and able to manage multiple projects simultaneously.
• Good working knowledge of MS office and excellent knowledge using Excel for budgeting.
