Production Coordinator // Kilimanjaro Live (London Hybrid)

Title: Production Coordinator
Reports to: Head of Events and Group Production 

Job Purpose

To support the planning and delivery of the Kilimanjaro Live concerts, festivals, and other events.  To provide office-based consistency and support throughout the year. To organise and coordinate freelance ‘reps’. 

Key Responsibilities and Accountabilities

  • Advancing indoor shows with artist production and venues. 
  • Working on site at shows, in the role of ‘promoter rep’ where necessary.
  • Working with promoters and production team to create and maintain event budgets, ensuring regular updates take place to allow forecasting throughout the year.
  • Booking and advising ‘reps’ for indoor shows across the year. 
  • Completing the upcoming shows diary as shows are confirmed.
  • Engaging suppliers to hire equipment and services for events. 
  • Working with the relevant Management Accountant on specific shows to ensure invoices are raised and pending payments are checked and approved appropriately.
  • Filing relevant paperwork with authorities or governing bodies such as PRS.
  • Ensuring internal company resource information file is kept up to date.
  • Review and design systems to maintain efficiency.
  • Acting as office-based support.
  • Undertaking any other relevant duties or reasonable request as requested by the Directors for the benefit of the company.

Experience

The ideal person will have:

  • Experience of live music touring, including knowledge of venues at a variety of scales. 
  • A good understanding of what goes into delivering a show.
  • Excellent use of Excel and good communication skills.
  • Ability to deal with multiple projects consecutively work at a fast pace but with good attention to detail.
